Today we’ll show you how to cross-reference. This solution allows for communication with a specific part of the document. For example, you can link to a diagram or drawing that are on another page. Using this element, you can go to the specified fragment.
Where to
A cross reference is created in several steps. First, we need an element that it will point to. It is impossible to create such a link to non-existent information, so we’ll prepare a chart, page numbers or other component in advance. A dialog box will appear during the insertion process. It will list the items that are available for linking. Insert a cross reference. In the document we enter the text with which it begins. On the tab called “Insert”, select the “Cross reference” command.
A type
Go to the next field. It is called “Link Type”. We use the drop-down list. Using it, select the type of element. A cross reference will point to it. As options, you can use the page number, title, and more. Go to the field called "Add Link". Select the information that you want to insert into this document. The set of options provided may vary depending on past activities. Go to the field called "For what ...". Select the element that the link will point to.
Position and Variables
We proceed to the next step and select the "Insert as hyperlink" item. Next, we need the item “Add a word”. Set the checkbox in front of it to activate the relative position for the target element. Click the "Paste" button. A cross reference is inserted into the document in the form of fields. At this point we will dwell a little more. Fields are defined data sets by which Word is instructed to automatically insert the selected page number, figures, or text into a specific document. For example, the DATE command is responsible for the appearance of the current date. The advantage of using fields is that the selected content (image, page number) is automatically updated with any change. For example, if work on a document takes several days, the date will be adjusted automatically when you open and save the file. A similar algorithm works when you change the picture stored in another place. If it is indicated by a link in the corresponding field, the update will be performed automatically. Therefore, there is no need to reinsert this element.
Notes
If the link used is as follows {REF _Ref249586 \ * MERGEFORMAT}, this indicates that the Word text editor displays field codes instead of their values. You can send a document to print. In this case, the field values will be displayed. You can also hide the codes. To see the field values, use the key combination ALT + F9.
The right-click context menu also has a special command for these purposes. It is called "Codes / field values." It should be remembered that cross-references can even be created to those elements that are located in a separate document. Materials can be combined. Thus, a single master document appears. It is in it that cross-references should be inserted. Word does most of the operations automatically, so such a process does not take much time.
