Travel ID form, its function and purpose

The travel certificate form is a model document. In regulatory documents, this form is listed as a document in the form of T-10. It is the basis for employees to go on a business trip. Thanks to the special form, a travel certificate form allows you to track the time employees (employees) are on a business trip. Their time of departure and arrival at (from) the destination.

If an employee must visit not one but several enterprises or organizations during a business trip, stamps (seals) on arrival or departure (marks) are affixed to each of them. Each of these marks is certified by the signature of the head or other person at the company authorized for it, which was visited by the seconded employee. If the seconded employee does not provide a correctly executed form of a business trip certificate, then all financial expenses for a business trip may not be refunded to him. In addition, a service investigation (check) may be appointed by the head of the enterprise on such a fact, which should confirm or not confirm the fact of the employee being on a business trip and visiting him on the organizations indicated in the travel certificate.

An employee of the personnel body is usually authorized to write out a travel certificate at the enterprise. In addition to this document, an order or instruction to send an employee on a business trip is preliminarily issued. And it is this order (order) that will be the basis for the issuance of the travel form.

After the employee returns from a business trip, he passes to the personnel body (or another body that was involved in its design) a business trip with notes. In addition, to complete the trip procedure, the employee must provide a trip sheet, an advance report form. Documents can be filed to the expense report , which can confirm all financial expenses during the trip (travel documents, checks for payment of accommodation, etc.).

When registering an employee on a business trip, one should know that an order (order) is issued by either the head or a person authorized for him. The duration of a trip cannot be more than 40 days, excluding travel time. If the trip is related to the installation or construction work, then the period may be extended to a year. In addition, all the work or tasks that an employee is required to carry out during a business trip should not contradict his functional responsibilities prescribed in the employment contract. Do not forget that on a business trip for an employee, all social guarantees and norms determined by labor legislation also apply.

Employees may refuse a business trip if:

- This is a pregnant woman;

- employees who are under 18 years old (creative profession exception);

- employees dependent on sick relatives;

- mothers raising children under three years of age or caring for children with disabilities under the age of 18 years.

If the form of a travel certificate for one person is drawn up, the order is issued in accordance with form T-9. If it is planned to send several people, then a different T-9a form is used for the order.

Travel certificate is issued in a single copy.

In addition to the certificate, to monitor employees on business trips, the company maintains a special register for employees, both departing and arriving from business trips. Both its own employees and employees who arrived at the enterprise from other organizations (enterprises) are entered into it. Often, the employee who is involved in processing the travel certificate is also responsible for maintaining such a journal.
