How important is it to make an entry in the workbook

Among the personnel documents, there is one that every employer must request when hiring. This important document is a work book. It reflects the entire life path of the employee. The first entry in the workbook is usually made at the beginning of the seniority at the first place of work. This usually happens after graduation from an educational institution. Young specialists, having received a baggage of theoretical knowledge, are sent to work at the country's enterprises in order to put their skills into practice.

Filling out a document begins with a title page. An entry in the workbook is made by a specialist in the personnel department of the company on the basis of the employee’s personal documents: passport, certificate or diploma of graduation from an educational institution. Then, on the first page, an entry is made about education received before hiring. Any work book contains four sections that are required. The first of these is the serial number of entries. The second section follows - the date of the next note. Then, in the third section, the entry in the work book is entered directly. This can be information about education, military service, employment, dismissal or transfer. The last (fourth) section contains the grounds for making the corresponding entry. This may be a diploma, military ID or order with the obligatory indication of the serial number and date of issue (or publication). Record in the work book must certainly be made in legible handwriting and preferably without corrections.

Without exception, all entries must be made strictly in accordance with the indicated examples without any “liberties” of any kind. Each information on changes in the employee's labor activity should be clearly recorded and fully correspond to reality. Confirmation is a document (order), on the basis of which it is made. The wording of the order must be consistent with the record. The last column indicates the date and number of the document. They make it possible to confirm the information by checking with the archive data.

The work book contains not only records of personnel movements, but also data on the incentives and awards of the employee. For this, special pages are reserved. They are also filled in accordance with the examples specified in the instructions.

Most often, two types of entries are made in the workbook of any employee: on employment or on dismissal. Information about the reception usually briefly expresses the essence of the issued order. Dismissal can be for various reasons. It is the personnel officer, taking into account the circumstances, determines the wording of the order indicating the corresponding article of the Labor Code. If there is a dismissal of one 's own free will, the entry in the work book is made clearly indicating the reason and the legislative framework. The reason in this case is the employee’s own desire, and article 77 of the Labor Code of the Russian Federation is used as the legislative framework . This article contains 11 points. They reveal the circumstances by virtue of which the employee expressed a desire to terminate the previously concluded labor contract. By making an entry in the document, the personnel officer is obliged to indicate the corresponding paragraph of the article, on the basis of which labor relations between the parties will be terminated.

It is advisable that all entries are entered in the work book without corrections. But sometimes, due to inattention of personnel personnel, mistakes can be made. In this case, the personnel department specialist must make the appropriate corrections so that in the future they could not create problems for the employee when applying for a new job or applying for a pension upon termination of employment.
